What is Billr?

Billr is a time tracker and billing app for freelancers and small teams. You track hours with a timer, turn those hours into a quote or an invoice without retyping them, and let the client pay online by card or PayPal. It runs on iPhone, Android and the web app, works without a connection and syncs when you are back online. The app speaks 10 languages and supports 60 currencies.

How do I create an account?

Install Billr, tap Get Started and pick how you want to sign up.

Sign Up with Email asks for your name, company name and country, which Billr uses on your invoices. You confirm your address before you sign in, and the confirmation mail can be sent again from the login screen.
Google, Apple or Microsoft take you straight into the app. You add those business details afterwards under Settings, Business details.

Either way you can change all of it later.

How do I send my first invoice?

Your first invoice takes three steps.

Add a client under Clients, Add Client.
Choose New Invoice under Quick Actions on Home, or Create Invoice under Invoices, pick the client, and add your lines or pull in tracked time.
Tap Send Invoice.

Billr mails the PDF and keeps the invoice under Invoices, where its status shows Draft, Sent, Unpaid, Overdue or Paid.

Can I import my clients from another tool?

No, Billr has no file import. You add clients by hand under Clients, Add Client. Only the name is required, so you can add a client in seconds and fill in the address, tax ID and default hourly rate later when you need them on an invoice.

What do I get on the free plan?

Free is one user, with these limits.

One active project.
Three invoices and three quotes per calendar month.

Clients, items, tasks and time tracking are not capped. Reports need Starter or higher, and inviting teammates needs Crew or higher. When you hit a limit the app says which plan lifts it.

How do I start and stop the timer?

Open the Timer tab and pick a client, and optionally a project and task. Without a client the app asks you to select one first.

Start Timer begins the session.
Pause Timer holds it if you are interrupted, and Resume Timer carries on.
Stop & Save writes the session to your time entry history with its notes, duration and billable amount.

Does the timer keep running when I close the app?

Yes. Billr does not count seconds while the screen is on; it stores the moment you started and works out the elapsed time whenever you come back. Locking your phone, switching apps or losing signal does not cost you any time. You can only have one timer running at a time, and a running timer shows on every screen so you cannot forget it.

How do I correct a time entry?

Go to Timer, View Log History, and tap the entry. Edit Time Entry lets you change the start time, duration, notes, client, project and task. Once an entry has been billed it is locked, and the app names the invoice it belongs to. If a teammate changed the same entry while your form was open, Billr asks whether to reload their version or overwrite it.

Can I add hours I forgot to track?

Yes. On the Timer screen switch from Timer to Manual.

Pick the client.
Choose the date and time the work started.
Enter the duration in hours and add your notes.

Save, and the entry lands in your time entry history next to the tracked ones, ready to be invoiced.

Which hourly rate does a time entry use?

Billr takes the project rate if the project has one, otherwise the client's default hourly rate, otherwise zero. Set the client rate under Clients in Default Hourly Rate, and the project rate on the project itself. The rate is stored with each entry, so raising a rate later does not rewrite what you already earned on older entries.

How do I turn tracked hours into an invoice?

Open Timer, View Log History. Every client with unbilled time shows a Create Invoice button. Billr then asks how the hours should appear on the invoice.

Pick one and you get a draft invoice with the lines filled in. Once you send it, those entries are marked invoiced and can no longer be edited.

How do I create an invoice?

Tap Create Invoice and pick the client.

Add lines by choosing saved items or typing a name, quantity and price.
Set an invoice date and a due date, and if you need them a PO number, a client header, a discount and a note.
Preview shows the PDF exactly as the client gets it.

Save it as a draft or tap Send Invoice to mail it straight away.

How does Billr number invoices?

Each invoice gets your prefix plus a four digit counter, for example INV-0001, and the counter goes up per team. Change the prefix under Settings, Invoice Settings, Options. You can also type a number yourself on the invoice; if that number is already used, Billr refuses it and asks for another one, so you never get two invoices with the same number.

How do I put my logo and my colour on the invoice?

Both live in Settings, in two different places.

Settings, Business details, Add Logo holds your logo, company name, address and contact details.
Settings, Invoice Settings, Colors holds the colour: 14 preset colours or a custom one of your own.

Billr warns you when a colour is too light to read on the white PDF. Under Options you also set the font size and the date format.

Which invoice templates can I choose?

There are four: Classic, Modern, Contemporary and Corporate. You pick one under Settings, Invoice Settings, Templates, and the preview shows what it looks like with your own logo and colour. The choice applies to every invoice and quote you send from then on. All four are included in every plan.

How do I put tax on my invoices?

Go to Settings, Tax and Currency. Set your tax label, for example VAT, and the rate, and choose whether it is calculated per item or on the total. If you need it, switch on withholding tax with its own label and rate. Billr uses one tax rate for your team, and you can mark an individual line as not taxable when you add it. Under Invoice Settings, Options you decide whether the tax details show on the PDF.

How do I mark an invoice as paid?

Open the invoice and tap Mark as Paid. If the client pays online by card or PayPal, Billr does it for you as soon as the payment is confirmed, and the Activity Log records it. Marked paid means locked: to edit the invoice again, use Mark as Unpaid first. You can send the client a receipt from More Options, Send Payment Receipt.

Can I send an invoice again?

Yes. Open the invoice and tap Send Invoice again; the Activity Log then shows Invoice resent, with the date. If the client already has it and you only want the status to be right, use More Options, Mark as Sent. From the same menu you can export the PDF, download it as an image or print it, and send it through any channel you like.

What is the difference between cancelling and deleting an invoice?

Cancel Invoice keeps the invoice and its number in your books but marks it cancelled, and its online payment link stops working. Reactivate Invoice undoes that. Delete Invoice removes it from the list altogether. A paid invoice cannot be cancelled: mark it unpaid first or refund it. For your numbering, cancelling is usually the safer choice.

Quotes

How do I make a quote?

Open Quotes and tap New Quote. It works like an invoice: pick the client, add your lines, discount, tax and a note. A quote gets its own number with the QUO prefix and a Valid Until date, 30 days out by default. Change that prefix and the default validity under Settings, Invoice Settings, Options.

How does my client sign a quote?

Tap Send Quote. The client gets an email with the quote and a View & Sign button, and on that page they do four things.

Enter the access code.
Read the quote.
Draw their signature.
Confirm the acceptance explicitly.

Billr records the signature, the moment and the technical details of the signing, notifies your team, and the quote moves to Signed. A signed quote can no longer be edited.

Why does my client need an access code for the quote?

The signing link is public, so the page is protected with a six digit access code. Billr puts the code in the same email as the link, and you can forward both yourself with Copy Signing Link and Copy Access Code, for instance through WhatsApp. After five wrong attempts the quote refuses further tries for ten minutes. Regenerate Link creates a new link and kills the old one.

How do I turn a signed quote into an invoice?

Open the quote and tap Convert to Invoice. All lines, the discount and the tax carry over one to one, and you get a normal draft invoice you can still change before sending. The quote keeps a link to the invoice, so View Invoice takes you straight to it. Note that the new invoice counts towards your monthly invoice limit.

What happens when a quote expires?

Billr compares the Valid Until date with today, so a quote moves to Expired on its own and shows up under that filter. The client can no longer sign it. To use it after all, choose Edit Quote, set a new Valid Until date and send it again with Resend Quote. Or use Duplicate as New Quote to start again with fresh prices. The default validity for new quotes is set under Settings, Invoice Settings, Options.

Clients

What do I fill in for a client?

Under Clients, Add Client only the name is required. Add an email address if you want to mail invoices to the client, plus the address and tax ID, which Billr prints on the invoice. A default hourly rate makes your time entries calculate automatically, and a tag, rating and notes help you keep the list organised.

What are client tags for?

Tags group your clients, for example by type of work or status, and you can search and filter the client list by them. Billr ships with default tags; choose Customize under Settings, More Options, Client Tags to make your own with a colour of your choice. Deleting a tag that is in use asks you to move those clients to another tag first.

Where do I see what a client owes me?

Open the client and look at the Summary block: hours tracked, billable amount, and unpaid invoices with the number and the amount. From there you also start a timer, create an invoice or add a project for this client. In the client list you can sort by Balance Due, Total Paid or Total Invoice to see who is behind.

Projects and tasks

How do I create a project?

Go to Projects and tap Add Project. A title is enough; you can also link a client, set an hourly rate for the project, a total budget and an estimated number of hours. The project rate takes priority over the client rate on time entries. Free allows one active project, Starter three, and Pro and up unlimited.

How does Billr track a project budget?

Enter a Total Budget on the project. On the project screen Billr adds up the billable amount of all time entries for that project and shows what share of the budget you have used. Tracked time is compared with your estimated hours in the same way. Both use the rate that applied when each entry was made, so past work is not restated when you change a rate.

Can I use my own task statuses?

The default statuses are To Do, In Progress, Done and On Hold. Choose Customize under Settings, More Options, Task Statuses and you can create your own with a colour and a category: Not Started, In Progress or Completed. That category decides how the status counts towards the project status. Deleting a status that tasks are using asks you to reassign those tasks first.

How do I track time on one task?

Open the task and tap Log Time. You can run the timer against this task or enter the hours by hand; both land in the Logged Times list on the task. On the timer screen you can also pick a project and a task before you start. That makes it possible to invoice a single task's hours instead of everything the client has open.

Reports

Which periods can I report on?

The Report tab works per Month, Quarter, Year or Lifetime, and you can step back through the periods. You can narrow it to one client. There are two views: revenue, with totals billed, paid and outstanding and the average days to pay, and work, with hours per client and per project. Reports are available from the Starter plan onwards.

Can I export a report?

Yes, with Export as PDF for a formatted report and Export as CSV for the raw rows for your spreadsheet or your accountant. Exporting needs the Pro plan or higher. A very large export, over 50,000 rows, is refused; narrow the period or pick one client and try again.

What counts as billable hours in the report?

A time entry counts as billable when its hourly rate is above zero. Hours you tracked on a client or project without a rate count in your total hours, but not as billable. Utilization is billable hours divided by total hours, and the effective rate is your billable amount divided by the hours worked. So if a client looks unprofitable, check the default hourly rate on that client or project first.

Payments

How do I connect Stripe?

Go to Settings, Payment Options, Stripe and start the setup. Only the team owner can do this. You fill in the form at Stripe, which usually reviews an account within one or two business days.

The Connection Status block then shows three steps:
Details Submitted.
Charges Enabled, which has to be green before a client can pay by card.
Payouts Enabled, which only turns on once you have added a bank account at Stripe.

Disconnecting kills the payment links on existing invoices.

How do I accept PayPal?

Under Settings, Payment Options, PayPal you enter your own PayPal email address. A Pay with PayPal button then appears on your invoices. The address has to match the account that receives the money, otherwise Billr will not accept the payment confirmation. If you do not have a PayPal account yet, PayPal creates one for that address the first time a client pays.

What does Billr charge on a payment?

Nothing. Billr takes 0% of your invoices; the money goes straight from your client to your own Stripe or PayPal account. Stripe and PayPal charge their own transaction fee, which depends on your country and the payment method. You will find those rates in your Stripe or PayPal account, not in Billr.

When do I get the money from an online payment?

The payment lands in your own Stripe or PayPal account, not in an account belonging to Billr. From there it follows the payout schedule of that provider and the bank account you registered with them. In Stripe, payouts only start once the Payouts Enabled step is green. Billr marks the invoice paid as soon as the provider confirms the payment.

Can my invoice carry a payment QR code?

Yes. Switch on QR Payment under Settings, Payment Options and fill in your details.

Account name and IBAN for a bank QR.
A PIX key for Brazil.
A UPI ID for India.

Billr picks the right format from your client's country: SEPA, Swiss QR bill, Czech SPD, Hungarian QR, PIX or UPI. The client scans it in their banking app. If you would rather just print your bank details, use Bank Transfer with your own payment instructions.

My client says the payment link does not work. What now?

Check three things.

Is the invoice cancelled? That switches the link off, and Reactivate Invoice brings it back.
Is your Stripe setup finished? Charges Enabled has to be green before a card payment can go through.
Is the link stale? A checkout session expires after about a day, so use Regenerate Payment Link.

For PayPal, check that the email address under Payment Options is the address that receives the money.

Plans and billing

Which plans does Billr have?

There are six, three for one person and three for a team.

Free: 1 user, 1 project, 3 invoices and 3 quotes a month.
Starter: 1 user, 3 projects, unlimited invoices and quotes.
Pro: 1 user, everything unlimited, plus report exports.
Crew, Team and Business: 5, 15 and 50 users, with the team features on top: roles, shared clients and projects, and the audit log.

Every plan gets all four templates and 0% fee on payments.

How do I upgrade my plan?

Open Subscription and pick a plan: monthly, yearly, or as a one time purchase where that is offered. In the iPhone or Android app you pay through the App Store or Google Play; in the web app at app.billr.cloud you pay by card in a secure checkout. Only the team owner can buy or change a plan. A team pays through one channel at a time, so a plan bought on the web is changed on the web, and a store plan in that store. An upgrade takes effect immediately; a downgrade applies at the end of the period you already paid for.

How do I cancel my subscription?

You cancel where you bought it. For the App Store or Google Play, the Manage Subscription button on the Subscription screen takes you straight to the right page in that store. For a plan bought in the web app, sign in at app.billr.cloud, open Subscription and tap Manage Subscription to cancel in the customer portal. You keep full access until the period you paid for ends, after which the account moves to the free plan. Your data stays; only the limits come back.

I paid, but the app still says Free. What do I do?

Open Subscription and tap Restore Purchases. Make sure you are signed in on the phone with the same Apple or Google account you bought the plan with, because that account holds the purchase. In a team, only the owner's plan counts: members inherit it, and their own screen says the subscription is managed by the team owner. If the plan still does not come back, contact support with the purchase date. Bought in the web app at app.billr.cloud? Then there is nothing to restore: the plan is tied to your Billr account and shows on every device once you sign in.

What does the lifetime plan mean?

Lifetime is a one time purchase instead of a monthly or yearly subscription: you pay once and keep that plan. On the Subscription screen you switch the billing period to Lifetime to see the price; plans without a lifetime option show Not available. Just like a subscription you buy it in the app through the App Store or Google Play, or in the web app at app.billr.cloud. Restore Purchases brings a store purchase back on a new phone; a web purchase is tied to your Billr account. A running subscription does not stop by itself when you buy lifetime, so cancel it afterwards.

Teams

How do I invite someone to my team?

Go to Settings, Team and tap Invite member.

Enter their email address and pick the role.
Tap Send invite. They get an email with a link to join your team, and they can sign up with a new account through that link.

An invitation is valid for seven days. The Team screen shows how long it has left and lets you resend or revoke it, and resending starts a fresh seven days. Inviting needs Crew or higher, with 5, 15 or 50 seats depending on the plan.

What is the difference between owner, admin and member?

Three roles, from most access to least.

The owner buys and manages the plan, can remove anybody, and is the only one who reaches the audit log and the Stripe settings.
An admin manages the team, invites people and sees the data of the members reporting to them.
A member sees and creates their own work.

Change a role under Settings, Team, and use Transfer ownership to hand over the team, after which you become an admin yourself.

What do my team members see from each other?

Clients and items are shared across the whole team. The rest depends on the role. The Owner and Admins see every project; a Member sees only the projects assigned to them, which you set in Edit Project under Team members. Time entries: the Owner and Admins see everyone's, a Member sees their own. Invoices and quotes: the Owner sees all of them, an Admin sees their own plus those of the team members who report to them, and a Member sees their own. Who reports to which Admin you set under Settings, Team with Assign reporting. In the Report tab you then pick the scope, from the whole company down to one person.

How do I see who changed what?

Settings, Audit Log shows every change in the team: who, what, when, and which fields changed from which value to which. You can filter by person, role, record type, invoice number, client and date range. The audit log is for the owner and needs Crew, Team or Business. For a single record there is a shorter History block on the record itself.

Offline and sync

What can I do without a connection?

Almost everything. Tracking time, adding clients, projects, tasks and items, and creating and editing invoices and quotes all work offline; the app shows a banner saying you are offline. What does need a connection is anything that leaves your phone: mailing an invoice or quote, online payments, and inviting teammates. Do those once you are back online.

When does my offline work sync?

Billr keeps your changes on the device and sends them as soon as it sees a connection again, in the order you made them. If the same record was changed in two places, the most recent change wins. You do not have to press anything. In the rare case that a change cannot be saved after several tries, the app tells you rather than dropping it silently.

Can I use Billr on my phone and my laptop at the same time?

Your data goes where you go, but one account is active on one device at a time. When you sign in somewhere else, Billr asks the active device to approve it and stops and saves any running timer there. If that device does not answer, you can sign in anyway, and the other session is closed. Sharing one Billr account with someone else therefore does not work; invite them to your team instead.

Languages and currencies

How do I change the language?

Settings, App Settings, Language. Billr speaks English, Spanish, French, German, Italian, Dutch, Portuguese, Polish, Hindi and Turkish. The choice follows your account, so your other devices switch along with it. The language works offline too, because all ten are built into the app.

How do I change my currency?

Settings, Tax and Currency, Currency, where you can choose from 60 currencies. The currency applies to your whole team and to every invoice, quote and report; Billr does not do a separate currency per client or per invoice. If you switch currency after invoices have been paid, the report leaves those older amounts out of the totals and says so, because it does not convert between currencies.

Account and privacy

How do I delete my account?

Open your profile, tap Delete Account and type DELETE to confirm. This is permanent: your clients, invoices, projects and time entries go with it, and there is no undo. If you own a team, the shared data of your team members disappears as well and they are not warned, so tell them first. Important: deleting does not cancel a subscription. Cancel it first where you bought it: in the App Store or Google Play, or for a web purchase under Manage Subscription at app.billr.cloud.

Where is my data kept?

Billr is made by Bliqo OÜ, a company registered in Estonia, in the EU. Your data lives in two places: on your device, so the app works offline, and in Billr's cloud database, which runs in the EU, in Frankfurt, and is what lets your phone and the web app show the same thing. Settings, App Settings, Privacy Policy says exactly what is stored and for how long, and Delete Account removes it. If you need something more specific for a client or a contract, ask support.

Troubleshooting

My client never got the invoice. What now?

Work through these four.

Open the invoice and check the Activity Log: Invoice sent means it left Billr.
Check the email address on the client.
Ask them to look in their spam folder, because the mail comes from billr.cloud.
Check Settings, More, Email Settings, where you choose who sends: Billr from the billr.cloud domain, or your own email app, in which case the mail sits in your own outbox.

Tap Send Invoice again to resend, or share the PDF through another channel.

I cannot sign in. What should I check?

Four things to check.

Use the same method you signed up with; your profile screen says under Account created with which one that is. A Google or Apple account has no password in Billr.
For email, request a new link with Forgot Password: it is valid for one hour and works once.
If the app says your session is active elsewhere, take the session over on this device.
If you were invited, sign in with exactly the email address the invitation was sent to.
